BEFORE YOU START
- Per-staff hourly rates set up in Settings → Billing → Staff Rates per service type
- Payment gateway connected (Stripe / Square / PayPal / LawPay / CPACharge)
- At least one client and one engagement to bill against
STEP BY STEP
- Click on any task — a timer auto-starts with task context (staff, client, work type, start time)
- Live timer banner shows in purple at the top of My Space; live $ amount calculated against your hourly rate
- Pause/Resume as you work; click Stop & Save when done — modal opens for description, work type, billable toggle, notes
- Manual entries: My Space → + Log Time Manually — full form with date, start/end, billable, notes
- View entries in Time Log page: filter by staff, client, work type
- Quick Start grid has 6 common task cards for low-friction starts
- For invoicing: open Reports → WIP Report — all unbilled time by client → select entries → click Create Invoice
- Invoice auto-populates: client, line items from time entries, amounts at staff hourly rates
- Add additional line items if needed (flat fees, expenses)
- Click Send to Client Portal — client sees invoice with Pay Now button; email notification sent
TIPS / GOOD TO KNOW
- Click on a task = timer auto-starts (less friction); click Stop & Save when done
- Time entries are PRIVATE until they appear on an invoice (clients don't see your raw hours)
- Billable toggle defaults TRUE for client work, FALSE for "Internal / Firm"
- Per-service-type rates: Tax Prep / Audit / Accounting / Advisory / Admin — different rates per type
TROUBLESHOOTING
- Live $ shows $200/hr (demo fallback): set up your hourly rate in Settings → Billing → Staff Rates
- Timer kept running overnight: stop and edit the duration manually before saving
- Invoice doesn't auto-populate: confirm time entries are billable (toggle was on) and the engagement is linked
