BEFORE YOU START
- You'll need OWNER or ADMIN access
- Have your firm logo ready (PNG or SVG, at least 200×200px, transparent background works best)
- Know your firm's brand colors (hex codes if possible)
- Decide whether you want a custom portal domain like portal.yourfirm.com (this needs DNS access)
STEP BY STEP
- Go to Settings → Firm Profile
- Upload your logo — you'll see a preview of where it appears (sidebar, emails, client portal, engagement letters, signing pages)
- Set your color scheme — pick from preset themes or enter your own hex codes for primary, accent, and background colors
- Click "Live Preview" to see your colors applied across the entire app
- Fill in your firm details: legal name, brand/DBA name, address, EIN, phone, email, Engagement Partner name, payment email
- For custom portal domain, enter portal.yourfirm.com — you'll see a CNAME record to add at your DNS provider; SSL certificate is automatic
- Go to Settings → Templates → Engagement Letters to review the 6 default templates (Tax 1040, Tax Business, Audit GAAS, Review SSARS, Compilation, Single Audit) — customize the body text but keep the placeholders like {{LEGAL_NAME}} for auto-fill
- Use ⛶ Full View to preview each EL as your client will see it
TIPS / GOOD TO KNOW
- Color changes apply everywhere instantly — preview both light and dark mode before saving
- Brand DBA name appears in client-facing UI; Legal name appears on engagement letters — both fields matter
- Once you set up branding, you can leave it alone for years — it's a one-time setup
- The "Edited" badge stays on EL templates until you click Reset to Template — don't worry, your changes are saved
TROUBLESHOOTING
- Logo looks blurry: use SVG instead of PNG, or upload a higher-resolution PNG (at least 200×200px)
- Colors look wrong on light backgrounds: contrast matters — preview before saving
- Custom domain not loading: DNS changes can take up to 24 hours to propagate; check the CNAME record matches what we showed you
