Run a monthly close for an accounting client

BEFORE YOU START

- Client must be past Go Live (post-onboarding) - All Pre-Close items received OR escalated for the period - Bank statements available (uploaded by client OR fetched via read-only access from Vault) - QBO/Xero connection healthy (token not expired)

STEP BY STEP

- Click the client in the Monthly Close pipeline (Kanban view) — opens the per-client Month-End Close process - Stage 1: Bank Feed Code — confirm transactions categorized; review uncategorized - Stage 2: Custom Tasks — complete client-specific recurring tasks - Stage 3: Pre-Close Checklist — verify each item has its source confirmed (🔒 login / ⬆ upload / 📅 schedule) - Stage 4: Bank Rec — reconcile each bank account / CC / loan to source statement - Stage 5: JEs & Close — post recurring monthly journal entries; trial balance must balance - Stage 6: AI Review — click Run AI Review; review categorized findings (Transactions Without Payee, Expense Inconsistency, Newly Added Vendors, Duplicate Vendors, etc.) - Stage 7: Manual Review (Manager) — manager approves your work; sends unresolved questions to client via Final Review tab - Stage 8: Ready to Send — generate financial statements (P&L, Balance Sheet, Cash Flow); ratios + cover page - Stage 9: Submitted — Partner approves → click Publish; PDF + Excel saved to Reports folder; recurring monthly invoice generated

TIPS / GOOD TO KNOW

- On the LAST DAY of each month, system auto-creates the next month's close in "Submitted" stage - AI Review can auto-merge confident duplicate vendors — review in your first 1-2 closes before trusting silently - Final Review questions go via portal AND Excel email (dual delivery) — most clients respond to one or the other - Closed-year periods are LOCKED from edit — design protection

TROUBLESHOOTING

- Trial balance out of balance: don't proceed past JEs & Close stage; correct first - Bank Feed shows wrong data: check QBO token isn't expired (Settings → Integrations); link engagement to correct QBO company - Client doesn't respond to Final Review: 7 days reminder, 14 days partner outreach
