BEFORE YOU START
- You'll need OWNER or ADMIN access
- Know each person's email address
- Have a sense of which role fits each person (we explain below)
- Make sure your subscription tier supports the seat count (Accounting Only/Tax = 5 users; All-In-One = unlimited)
STEP BY STEP
- Go to Settings → Users & Roles → click + Invite User
- Enter their email and choose a role:
- OWNER — you (only one)
- ADMIN — operational admin, full settings access
- PARTNER — engagement partner, signs off on reports/returns
- MANAGER — oversees teams, allocated clients
- STAFF — preparer, bookkeeper, or auditor; sees only assigned clients
- VIEWER — read-only on assigned clients
- Configure module permissions — choose which modules they can see (Tax / Accounting / Audit / etc.)
- Click Send Invite — they'll receive an email with a link to set their password
- After they sign in, allocate clients to them: open each Client → choose them as assignee
- Set their hourly rates: Settings → Billing → Staff Rates — different rates per service type (Tax Prep / Audit / Accounting / Advisory / Admin)
TIPS / GOOD TO KNOW
- Permissions are module-based AND client-based — staff only see clients they're assigned to
- Performance data is OWNER-only by design; staff see their own work but not firm-wide revenue
- Adding someone to a chat channel (#general, #tax, etc.) is separate — do that in Chat after they sign in
- Vault access (for shared client credentials) is per-user; they'll need to set up a master password the first time
TROUBLESHOOTING
- Invite email didn't arrive: check spam; you can resend from the Users list
- They got locked out after a few wrong passwords: it's our 5-failed-attempt auto-lockout; they wait 15 minutes or you click Force Re-Auth
- Wrong role assigned: just edit their user record; clients reassigned automatically
